Qualifications:
Although no specific qualifications are necessary, it is essential that the Centre Administrator is competent in using computers and a range of software. They must also be extremely professional in their manner and appearance as they will be the first point of contact for telephone callers or visitors to the summer school. It is also expected that they are trustworthy, honest and understand the importance of confidentiality.
Salary:
The salary is in the region of £450 per week.
Working Day:
The Centre Administrator will spend the majority of their day in the office dealing with phone calls from agents and parents etc. There will also be visitors to the centres who the Centre Administrator will need to warmly welcome and therefore he/she will need to maintain a professional appearance throughout the day.
Due to the fact that many people visit the office – students, parents, agents, group leaders, staff and main school staff etc., the office needs to look neat and tidy at all times and this is the responsibility of the Centre Administrator.
As the Centre Administrator will be in the office more than other members of the Senior Team, they will be the first person that most people at summer school deal with and it is important that they make the best first impression.
The Centre Administrator needs to be flexible because although the majority of the day is spent in the, telephone calls and visitors – expected and unexpected may mean that your work is interrupted quite a lot.
You will need to be extremely accurate as you will be dealing with figures, money, lists and important information on a daily basis. It is important that you can spot small details which if missed could lead to huge problems for the school.
You will work closely with the Centre Director and will do a lot of the administration work for them such as inputting information into spreadsheets, typing up logs and lists and assisting with pocket
- Setting up and maintaining the office to look neat and presentable for visitors
- Clearly displaying all the necessary information and notices
- Keeping lists up-to-date e.g. student health information, student rooming information, accommodation telephone numbers, class lists, staff telephone numbers, student birthdays, staff duty and time-off rotas, airport transfer schedules
- Ensuring all office equipment is working properly
- Ensuring books for recording Accreditation UK/Health & Safety required information are available in the office – Fire Drill Book, Accident Book, Medication Record Book, Student
- Observation Book
- Answering the telephone – always trying to be the first person in the office to answer the phone.
- Ensuring student telephone messages and mail are passed on
- Welcoming visitors to the centre
- Assisting with pocket money and petty cash
- Checking travel documents
- Providing staff with correct airline arrival and departure information
- Typing agendas for daily staff meetings
